Based on that feedback, we’re delighted to introduce the new PlanHero Impact Plan.

What makes the Impact Plan different?

The Impact Plan is designed for organizations that need flexible account structures, stronger compliance tools, and better visibility into who is participating, cleared, trained, and engaged.

Account Management

Organize multiple Groups, admins, Events, organizers, and members under one powerful account.

Background Checks

Connect with Checkr and require proper clearance before participants can sign up for selected Events.

Check-ins & Check-outs

Track attendance manually or through QR code check-ins and check-outs at your Events.

Waivers & Agreements

Require members or participants to acknowledge documents before joining or signing up.

Member Management

Collect onboarding information, track notes, and manage important member details in one place.

Training & Compliance

Help your organization keep track of required items such as annual training and onboarding steps.

PlanHero Impact Plan Structure

Account Management

The Impact Plan gives your organization a more flexible way to structure teams, departments, ministries, programs, locations, or committees.

  • The basic Impact Plan includes five Groups.
  • Each Group can have up to five Co-Group Admins.
  • Each Group can have unlimited Events (signups).
  • Each Event can have up to five Co-Event Organizers.
  • Admins and organizers can all be unique for each Group and Event.
  • Each Group can have unlimited Members including volunteers, club members, employees, players, and more.
Ideal for organizations with multiple teams, departments, campuses, ministries, or programs.

Background Checks

We have partnered with Checkr to allow organizations to complete fast and accurate background checks for volunteers, members, or employees.

  • Create your Checkr account and connect it directly to PlanHero.
  • Order background checks for Members of your Group.
  • Select the screening options that fit your organization’s needs.
  • Toggle the Background Check required setting in Event Settings.
  • Help ensure only properly cleared participants can sign up for selected Events.
Great for schools, nonprofits, churches, youth organizations, and community groups.

Check-ins and Check-outs

For each Event, organizers can enable Check-ins and Check-outs to better track attendance and participation.

  • Enable Check-ins and Check-outs in Event Settings.
  • Set how early participants are allowed to check in before an Event begins.
  • Allow organizers or co-organizers to manually check participants in.
  • Allow participants to check themselves in using QR codes.
  • Use printed or digital QR codes at Event check-in stations.
  • Modify check-in or check-out times later if needed.
A simple way to improve attendance tracking and volunteer hour reporting.

“I Agree” and Waiver Acknowledgments

The Impact Plan makes it easier to collect required acknowledgments from Members and participants.

  • Require Members to sign and agree to documents added to your Onboarding Form.
  • Require participants to acknowledge documents before confirming their signup.
  • Use this for waivers, policies, permission forms, agreements, or other required acknowledgments.
Great for organizations that require acknowledgment prior to participation.

Member Management

Create a more complete profile for every person involved with your organization.

  • Create a custom Onboarding Form for new members to complete.
  • Ask standard questions such as mailing address, skill sets, and availability.
  • Add custom questions such as areas of interest, age, physical capabilities, and more.
  • Use a hidden notes section for Account Owners and Group Co-Admins.
  • Track important administrative context related to each Member.
  • Use checklists for annual training and onboarding completion (coming soon!).
