We’ve all been there. You have everything all set for your big event and then someone makes a last minute change.
We have expanded our Event Locking feature to help you avoid these ninth hour stressors, by allowing you to lock signups on your terms.
How the Event Locking feature works:
Availability:
The Event Locking feature is available on all of our paid PlanHero subscription plans.
You will find it in your Event Settings.
What does LOCK mean?
- Participants cannot sign up for anything (including completing Question Forms), nor can they edit or delete any signups.
- The Organizer, Co-Organizers, Admin, and Co-Group Admins CAN add, edit, and/or delete signups.
How to immediately lock your Event:
You can lock the Event immediately by simply clicking on the pink Lock Event Now button.
To unlock the Event, just click on the word Unlock.
How to schedule the locking and/or unlocking of your Event:
Click on Configure Event Locking.
LOCK FROM
To lock the Event FROM a certain date and time, enter the desired date and time and then click the Set Lock button.
EXAMPLE:
You want to not allow any additional signups or edits or deletions of signups FROM June 6th at 8:00 pm on, then you would enter June 6 and 8:00 pm in the Pick date and Set Time boxes, then click the Set Lock button. This will lock signups.
LOCK UNTIL
To lock the Event UNTIL a certain date and time, enter the desired date and time and then click the Set Lock button.
EXAMPLE:
You want to not allow any participants to signup for or edit/delete any signups UNTIL June 6th at 8:00 pm, then you would enter June 6 and 8:00 pm in the Pick date and Set Time boxes, then click the Set Lock button.
The LOCK UNTIL setting is typically used when you have competition for signing up and you want to “OPEN” the signups on a certain date at a certain time. It allows you to schedule it in advance at your convenience, rather than being shackled to posting/launching it at the particular date and time.
Can I use BOTH the Lock from AND the Lock until settings?
Of course! When you do this, you will restrict participants from signing up UNTIL a certain date/time and you will prevent them from adding, changing, or deleting their signups FROM a certain date/time forward.
How the Restrict Signups feature works:
Availability:
The Restrict Signups feature is available on the Pro and Enterprise subscription plans only.
When to use:
The Restrict Signups feature is particularly useful for multiple date Events.
EXAMPLE:
You have an Event that occurs every Thursday for a year, but you don’t want participants to signup, edit, or delete their signups last minute, you might set the Restriction feature Number of days prior to signup date to 1 day.
In our example, this means that participants can change their signups up until Tuesday of a given week, but starting Wednesday no one can add, edit, or delete a signup. So you have an accurate understanding of who is attending/working/bringing each Thursday. You can print out a PDF or CSV for that date and know exactly what’s going on!
Instructions:
Select the Number of days prior to signup date, then click on the Set Lock button.
