PlanHero® Privacy Policy

This Privacy Policy describes how PlanHero® (“PlanHero,” “we,” “us,” or “our”), operated by MomClone, LLC, collects, uses, stores, and discloses information in connection with our websites, applications, and related services (collectively, the “Services”).
By using the Services, you agree to the collection and use of information as described in this Privacy Policy. If you do not agree, please do not use the Services.
1. Information We Collect
We collect information in the following ways:
A. Information You Provide to Us
We collect information you choose to provide, including:
• Name, email address, and contact information
• Account credentials and authentication information
• Event, signup, volunteer, and administrative information you create or submit
• Information you submit in response to organizer-created questions or forms
• Communications with us (including support requests and related correspondence)
B. Information Collected Automatically
When you use the Services, we may automatically collect certain information, including:
• IP address and general location (e.g., city/state), device identifiers, device type, browser type, and operating system
• Usage data such as pages viewed, actions taken, and features used
• Cookies and similar technologies (see Section 6)
2. How We Use Your Information
We use information we collect to:
• Provide, operate, maintain, and improve the Services
• Create and administer accounts and events
• Process payments and manage subscriptions
• Provide customer support and customer success assistance
• Conduct training, quality assurance, and troubleshooting
• Communicate service-related notices and updates (e.g., security notices, policy updates)
• Monitor, protect, and secure the Services, including preventing fraud and abuse
• Comply with applicable laws and enforce our terms
We do not sell personal information and we do not use customer data for third-party advertising.
3. Third-Party Service Providers
We use certain trusted third-party vendors to help operate and improve the Services. These providers process information only as needed to perform services for us and consistent with their own terms and privacy policies.
A. Stripe (Payments) and Payment Processing and Fees
Stripe is used to process payments and manage subscriptions. Payment card information is handled securely by Stripe. PlanHero® does not store full credit card numbers on our servers.
If you are an event organizer, you may choose to use PlanHero® to collect payments from participants or other users. When you do so, PlanHero® may charge a service fee, which will always be clearly disclosed at the time of the transaction.
Payments are processed by Stripe, a third-party payment processor. Payment transactions do not flow through PlanHero®, and we do not store full credit card numbers on our servers.
Stripe processes payments in accordance with its own terms and privacy policies, which apply directly between you and Stripe. PlanHero® uses payment information solely to facilitate the transaction you authorize and does not use payment details to charge you for unrelated services.

B. Freshworks (Customer Support)
We use Freshworks to provide customer support services, including support tickets, live chat, and phone calls. Communications with our support team, including chats and calls, may be recorded and stored for purposes such as responding to your requests, training, quality assurance, and improving our customer support and services. Information collected through Freshworks is used only for customer support and related operational purposes.
C. FullStory (Session Replay)
We use FullStory to record limited user sessions to help us troubleshoot issues and improve the user experience. These recordings are used internally and are not used for advertising purposes.
D. Google Analytics
We use Google Analytics to understand how customers use our website and Services so we can improve performance and usability. Google Analytics may collect information such as pages visited, time spent, and interactions with features.
E. Social Login Providers (Google and Facebook)
You may choose to log in to PlanHero® using third-party authentication services such as Google or Facebook. When you do so, we receive basic profile information (such as your name and email address) as permitted by your account settings with those providers.
F. Double the Donation
We partnered with Double the Donation to allow access through an API to Double the Donations’ volunteer grant and volunteer time off database. If an Organizer elects to implement this feature, and if a participant elects to share information about their employer, this information will be shared with Double the Donation and is governed by Double the Donation’s Privacy Policy and Terms of Use.
G. Canva
We partnered with Canva to allow access through an API to Canva for the purpose of creating Event Banner Images for our Event Pages. If an Organizer elects to connect with Canva, they will share log in information between our two platforms. All content created with Canva is governed by Canva’s Privacy Policy and Terms of Use.
4. Event Organizer Questions and Forms
PlanHero® allows event organizers to create custom questions and forms as part of their events and signups. These questions are created and managed by the organizer, not by PlanHero®.
While PlanHero® restricts the collection of certain sensitive information (such as Social Security numbers and full credit card numbers), organizers determine what information they request from participants. PlanHero® does not review or approve organizer-created questions in advance.
Information submitted in response to organizer-created questions is stored by PlanHero® and made available to the organizer for the purpose of managing the event.
Participants should review event questions carefully before submitting information. Organizers are responsible for ensuring that the questions they ask and the information they collect comply with applicable privacy and data protection laws.
5. Internal Access to Data
PlanHero® personnel may access user data only when necessary to provide customer support, technical assistance, customer success services, or to maintain and secure the Services. Such access is limited to a small number of senior personnel and is governed by internal controls.
6. Cookies and Similar Technologies
We use cookies and similar technologies to:
• Keep you logged in
• Remember preferences
• Understand how the Services are used
• Support security and operational functionality
You can control cookies through your browser settings. Note that disabling cookies may affect certain features of the Services.
7. Your Control Over Your Information
You have choices about how your information is used in PlanHero®. Depending on your role and location, you may be able to:
• Access or update your account information
• Request a copy of the personal information we have about you
• Request that we correct or delete your personal information
• Close your account
Many updates can be made directly within your account settings. For other requests, you may contact us using the information in Section 16. We will respond in accordance with applicable privacy laws.
Please note that certain information may be retained as required for legal, security, or operational purposes.
8. How We Share Information
We share personal information only in the following circumstances:
• With service providers described in this Privacy Policy to operate and improve the Services
• To comply with applicable law, regulation, legal process, or governmental request
• To protect the rights, safety, and security of PlanHero®, our customers, users, or others
• In connection with a business transaction (e.g., merger, acquisition, reorganization, sale of assets, financing, bankruptcy, or similar transactions involving all or part of our business), where permitted by law and subject to appropriate safeguards. In such an event, personal information will remain subject to protections consistent with this Privacy Policy.
9. California Privacy Rights (CCPA/CPRA)
If you are a California resident, you may have rights under the California Consumer Privacy Act (CCPA), as amended by the California Privacy Rights Act (CPRA), including the right to request access to, correction of, or deletion of certain personal information, and to know categories of personal information collected and disclosed.
PlanHero® does not sell personal information. To exercise your rights, contact us using the information in Section 16.
10. Additional Privacy Disclosures for California Residents
This section applies only to individuals who reside in the State of California.
Under the California Consumer Privacy Act, as amended by the California Privacy Rights Act (“CCPA”), California residents are entitled to additional disclosures regarding the collection, use, and sharing of personal information.
Categories of Personal Information We Collect:
– Identifiers (name, email address, IP address, cookie identifiers)
– Account, event, and signup information
– Internet or electronic network activity
– Device and technical information
– Customer support communications
– Payment-related transaction metadata (payment card information is processed by third parties)
Purposes for Use:
– Providing and operating the PlanHero® platform
– Account creation and management
– Payment processing
– Customer support and communications
– Analytics and product improvement
– Marketing and promotion of PlanHero®, including advertising effectiveness measurement
– Security and legal compliance
Selling vs. Sharing:
PlanHero® does not sell personal information. We may share limited personal information (such as online identifiers and cookie data) with advertising partners, including Meta (Facebook/Instagram) and Google Ads, for purposes of promoting PlanHero® and measuring advertising effectiveness, as defined under California law.
Sensitive Personal Information:
We do not use or disclose sensitive personal information for purposes that require a right to limit under the CCPA.
California Privacy Rights:
California residents have the right to know, access, correct, delete, and opt out of the sharing of personal information, and the right to non-discrimination for exercising these rights.

11. Other U.S. State Privacy Rights
Residents of certain U.S. states may have additional privacy rights under applicable laws. Where required, PlanHero® provides access, correction, deletion, and portability rights consistent with those laws. To submit a request, contact us using the information in Section 15.
12. EEA/UK (GDPR)
If you are located in the European Economic Area (EEA) or United Kingdom, we process personal data under lawful bases such as contract performance, legitimate interests, and legal compliance. Subject to applicable law, you may have rights including access, correction, erasure, restriction, objection, and data portability.
To exercise these rights, contact us using the information in Section 15.
13. Children’s Privacy
PlanHero® is not directed to children under the age of 13, and our Services are not intended for use by children under 13. We do not knowingly collect personal information from children under 13.
If you believe that a child under 13 has provided personal information to PlanHero®, please contact us and we will take steps to delete such information.
14. Data Security
PlanHero® takes reasonable administrative, technical, and organizational measures to help protect personal information from unauthorized access, disclosure, alteration, or destruction.
These measures include access controls, security practices designed to limit internal access to personal information, and the use of trusted third-party service providers to support secure operations.
While we work hard to protect your information, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
15. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. When we do, we will revise the “Last Updated” date at the top of this policy. If changes are material, we may provide additional notice as required by law.
