One of the best features of PlanHero signups is our auto-reminders. Once a participant signs up for something, they will receive automatic reminders based on what the organizer sets in their Event Settings. Organizers can set up to two reminders for each Event.

Reminder Timing Options

You have the same options from which to select your first and your second reminders:

1, 2, 3, 4, or 5 hours, or 1, 2, 3, 4, or 5 days, or 1 or 2 weeks before the participant’s signup.

What Does “before signup” Mean?

  • If a participant signed up for one or more Time Spots, the reminder for that Date will be triggered based on the Start Time of their first Time Spot for that Date.
  • If a participant signed up for one or more Simple Signups (not a Time Spot) for a Date, the reminder will be triggered based on the Start Time for that Date.
  • If a participant signed up for BOTH one or more Time Spots, AND one or more Simple Signups, the reminder will be triggered based on the earlier of the Start Time of their first Time Spot for that Date and the Start Time for that Date.
  • If a participant signed up for something that has no Date(s) associated with it, no reminders will be sent. Why? Because we have no calendar data upon which we can base a reminder.

How Reminders Are Sent

  • All reminders will be sent via email.
  • Reminders will also be sent via text (SMS) for those participants who signed up (opted-in) to receive them during the signup confirmation process.

If a Custom Message Is Set for a Reminder, Does the Participant Still See What They Signed Up for?

  • Yes. The Custom Message text is added above our standard reminder information, which includes what the participant signed up for on a given Date at a given Time.
  • The Subject Line of the reminder remains the same with or without Custom Text being added.
