Based on feedback from PlanHero customers, we’ve added a new optional Event setting that allows organizers to require participants to provide their mailing address when confirming a signup.

 

Why collect mailing addresses?

 

For many nonprofits and community organizations, a signup is the beginning of a relationship—not the end of one.

 

Having a participant’s mailing address can help your organization maintain more complete contact records and stay connected with volunteers and supporters after an Event. For example, organizations may want to:

 

  • Send invitations to upcoming fundraisers, information sessions, and other events
  • Continue cultivating volunteers and participants as prospective donors and supporters
  • Mail charitable contribution acknowledgments and other donation-related information for tax purposes
  • Keep more complete contact information for future outreach and organizational needs

 

Make it required—or leave it off

 

Because not every Event needs this information, requiring a mailing address is completely optional and can be configured on an Event-by-Event basis.

When the setting is enabled, participants will be prompted to enter their mailing address as part of confirming their signup. When you don’t need an address, simply leave the setting turned off. In general, the fewer steps to completing a signup, the better. So if you truly won’t use the mailing address, don’t compel participants to enter it.
